What we solve

Having QuickBooks isn't the same as having your accounting under control.

The platform gives access to information. OTIUM's value is turning that information into a reconciled, closed, documented accounting process connected with local obligations.

01

Visibility from outside Bolivia

Owners, management or headquarters can access QuickBooks without depending only on reports sent by third parties.

02

Local accounting judgment

Information is reviewed considering the operations and accounting needs of a company working in Bolivia.

03

Connection with taxes

QuickBooks doesn't replace the SIN or SIAT. OTIUM reconciles the information and manages the obligations included in the scope.

04

A second layer of control

If you already have an accountant or admin team, OTIUM can review the work, support adjustments and supervise the close.

Two main ways of working

Delegate the accounting or keep your in-house team.

The model adapts to who does the day-to-day bookkeeping. These aren't four equivalent services: QB Contable and QB Controller are the core recurring modalities.

Choose the situation closest to your company
The final scope is defined after understanding the operation.
QB Contable

OTIUM keeps your accounting in QuickBooks.

For companies that prefer to delegate the accounting process and keep direct access to their information.

✓Recording of purchases, sales, expenses, collections, payments, banks and entries needed for the close, according to scope.
✓Bank reconciliations and review of AR, AP and other relevant balances when there is enough information.
✓Review, adjustments and accounting close within the agreed calendar.
✓Balance Sheet, Income Statement and subsidiary ledgers when applicable.
✓Preparation and filing of tax obligations included in the service.
Invoicing: the company normally issues its own invoices. OTIUM can help in special cases when expressly agreed.
QB Controller

Your team does the bookkeeping. OTIUM reviews and controls.

For companies that already have an accountant or admin team and want a second professional layer of review, close and local support.

✓Review of records, classification, balances, AR, AP, banks, subsidiary ledgers and financial statements.
✓Reconciliations performed by the client or OTIUM, according to the contracted scope.
✓Observations, clarifications and adjustments: OTIUM can instruct the team or record directly when appropriate.
✓Supervision of the close and support with tax compliance.
✓Monthly, quarterly or half-yearly frequency, depending on volume, risk and need for control.
OTIUM can guide the in-house team on accounting criteria and QuickBooks use when needed, but training isn't the main purpose of Controller.
Entry point

QB Checkup

A diagnostic review to understand the state of QuickBooks and the accounting before continuing, delegating or moving to Controller.

  • It usually reviews the last month.
  • Setup, balances, reconciliations, AR, AP and financial statements.
  • Diagnosis + traffic-light rating + action plan + closing meeting.
Complementary capability

QuickBooks setup

If you don't use QuickBooks yet or need to reorganize it, we can get the platform ready to start working.

  • Setup and chart of accounts.
  • Opening balances and subsidiary ledgers as needed.
  • Training focused on real operations and reports.
The process as evidence

Accounting doesn't end when an invoice is recorded.

Every period must go through a cycle of information, recording, reconciliation, review, taxes, close and follow-up. That cycle is the core of the service.

QB Contable: OTIUM records QB Controller: your team records Calendar based on operations and deadlines
1

Information

We receive the documentation, access and data needed to work on the period.

2

Bookkeeping

OTIUM or your team records the operation in QuickBooks, depending on the modality.

3

Reconciliations

We match banks, AR, AP and other relevant balances when applicable.

4

Review

We analyze classification, open items, unusual balances and gaps.

5

Taxes

We reconcile the accounting with the obligations within the scope.

6

Adjustments and close

We prepare or coordinate adjustments and review the period's main balances.

7

Financial statements

We generate and review the Balance Sheet and Income Statement.

8

Follow-up

We make results, observations, open items and next steps visible.

Realistic calendar: OTIUM agrees with each company on a closing and compliance calendar based on operations, information availability and applicable deadlines. No universal closing date is promised to all clients.
QuickBooks + Bolivia

QuickBooks organizes the accounting. OTIUM connects that information with local compliance.

QuickBooks doesn't replace the SIAT, the SIN or the formal obligations that apply in Bolivia. That's why the process needs a local layer of reconciliation and judgment.

Platform

QuickBooks

Records, banks, AR, AP, Balance Sheet, Income Statement and reports.

Local judgment

OTIUM

Accounting-tax reconciliation, review, adjustments, close and preparation of obligations according to scope.

Compliance

OTIUMPrepares and files the included returns, communicates amounts, deadlines, differences and missing documentation.
The companyProvides information and approvals on time and pays the taxes.
Digital model

Accounting, evidence and management reading serve different purposes.

We don't try to make one tool do everything. QuickBooks holds the information, SharePoint keeps the evidence and OTIUM helps interpret results and open items.

Three layers that work together

QB
QuickBooks — AccountingRecords, banks, AR, AP, Balance Sheet, Income Statement and reports.
SP
SharePoint — EvidenceReturns, supporting files, receipts, history, files and open items when applicable.
OT
OTIUM follow-up — ReadingResults, variances, observations, open items and issues that need attention.

Follow-up can be presented in HTML

A management summary with the period's real data, without creating another parallel system.

Extensive historical reconstructions
Complex regularizations or amendments
Inventories and specific controls
Integrations or software development
Executing or approving bank payments
Payroll and labor management
Independent audit
Extraordinary reporting for headquarters

Payroll: is handled through the Payroll Outsourcing service and can be coordinated with the accounting when appropriate.

What changes

From depending on the accountant to sharing a visible, reviewed base.

The goal isn't to promise “real time” or to eliminate all risk. It's to improve order, visibility, traceability and coordination.

Without a structured process With QuickBooks + OTIUM
Information depends on files sent by one person. The company also has direct access to QuickBooks.
