OTIUM
OTIUM | Document Management and Automation in SharePoint

Your company's information shouldn't depend on knowing who has the file.

OTIUM designs and implements a SharePoint document structure to centralize support, owners, deadlines and evidence within Microsoft 365, with logic adapted to your company's real processes.

What we solve

The problem isn't missing files. It's that information is scattered.

When documents, support and open items live in emails, WhatsApp, personal computers, loose folders or different clouds, rebuilding a process becomes slow and dependent on specific people.

01

Scattered documents

Information spread across people, teams, emails, folders and paper files with no common structure.

02

Poor traceability

It's not always clear who should upload, review, update or maintain a document or open item.

03

Manual deadlines

Contracts, obligations, tasks or documents depend on informal reminders and personal follow-up.

04

Dependence on people

An employee leaving, being absent or changing roles can affect access to or rebuilding of critical information.

Before implementing

What is SharePoint within Microsoft 365?

It's a Microsoft 365 platform to organize a company's shared information through sites, document libraries, lists, permissions, views and collaboration spaces. OTIUM uses it as the base to build an orderly, usable document system.

SharePoint organizes shared information

It lets documents and work records stop depending on personal folders. The company can structure files, control data and access by area, process, owner or period.

LibrariesDocuments and support
ListsStatuses, owners and deadlines
PermissionsAccess as needed
ViewsInformation filtered by user or process
HistoryEvidence organized over time
Follow-upVisible open items and controls

It works within a connected ecosystem

Depending on the scope and available licenses, the structure can coexist with tools the team already uses in Microsoft 365.

TeamsTeam access to shared spaces
OneDriveSync and work with files
ExcelSupporting matrices and structured uploads
Power AutomateAlerts and flows as an add-on module
Power BIControl visualization when applicable
Microsoft 365Identity and business environment
If the company doesn't yet have a suitable Microsoft 365 setup, OTIUM can advise on the necessary conditions. For certain services, work can also be done from an OTIUM document environment.
What we do for your company

We don't start by creating folders. First we understand how the process works.

The structure is designed after reviewing areas, documents, users, owners and control points. That way SharePoint fits the operation, not the other way around.

01

Document diagnosis

We review how information is organized today, what sources exist and where the main problems are.

02

Structure design

We define libraries, folders, lists, views, rules and organization criteria according to the real process.

03

Permissions and owners

We configure basic access and views by user, area, process or document type.

04

Control lists

We structure controls for clients, staff, obligations, contracts, assets, open items, tasks or deadlines.

05

Documentation and training

We leave a guide, usage procedures and training so the system can be sustained in daily work.

06

Initial support

We validate the implementation with the client, fine-tune details and support initial adoption.

The document architecture

From scattered sources to a document system you can follow.

This is the core of the service: understanding where information comes from, how it should be organized and what controls it needs to be found, tracked and rebuilt.

Automation as a complementary module: deadline alerts, notices for pending documents, approval flows, reminders, status updates and other automations can be added according to scope and complexity.
Application examples

The structure adapts to the type of documentation your company needs to control.

These aren't automatic packages. They're real examples of document solutions that can be part of a project according to the defined scope.

Accounting

Monthly accounting archive

Documents organized by year, month, process or defined criteria to ease review and backup.

Tax

Tax archive and deadlines

Returns, forms, payments, requests, obligations, key dates and documentary evidence.

Payroll

Digital employee file

Contracts, personal documents, payrolls, vacations, leave, severance and related support.

Legal / Admin.

Contracts and corporate

Contracts, minutes, powers of attorney, registrations, corporate documents and dates that need follow-up.

Control

Audit support

Structure to ease evidence requests, internal reviews and external audit processes.

Management

Reports and master lists

Report libraries and control lists for owners, open items, assets, clients or recurring tasks.

Complementary modules

Automation when the process needs it

Once information is well structured, additional flows can be added. OTIUM assesses and quotes them according to process, volume and complexity.

Deadline alerts Pending documents Approval flows Reminders Status updates Alerts to owners
Reporting

Power BI when there's information worth visualizing

If the project requires it, SharePoint lists and statuses can serve as the base for tracking reports or visualizations in Power BI.

Power BI integration isn't automatically part of the base service. It's added as a complement when it adds value.
What the client receives

A structure that's implemented, documented and understandable for the team.

Final deliverables depend on the scope, information volume and project complexity. The base service focuses on leaving a usable model, not just a technical configuration.

Usual deliverables

✓Initial document diagnosis
✓Implemented SharePoint structure
✓Organized libraries and folders
✓Control lists and filtered views
✓Basic permissions setup
✓Limited initial upload of sample documents
✓Usage guide and document procedures
✓Training and initial support
Specific repositoriesAccounting, tax, payroll, contracts, corporate, audit or report archives, according to scope.
Master listsClients, staff, obligations, deadlines, contracts, open items, assets, tasks or vacations.
Follow-up reviewMonthly or quarterly administration can be contracted additionally.
Responsibilities

The implementation works best when each party knows what it must contribute.

OTIUM designs and implements the structure. The client brings knowledge of its operations, defines authorizations and validates that the model reflects how it works.

OTIUM

✓Diagnoses the current document situation.
✓Designs libraries, lists, views and organization criteria.
✓Configures the agreed structure and basic permissions.
✓Documents usage rules and trains the defined users.
✓Supports the initial rollout and agreed adjustments.

Your company

✓Appoints an internal project owner.
✓Provides information on areas, users, owners and document types.
✓Provides document sources and admin access when needed.
✓Defines and validates which users are authorized for each piece of information.
✓Validates that the structure correctly reflects the company's operation.
What changes

You notice the difference when you need to find, track or rebuild information.

We don't promise all manual work will disappear. We aim for information with a clear structure and open items that are more visible and reconstructible.

Without a structured process
With an OTIUM structure in SharePoint
Files spread across people and folders
Documents centralized under a common logic
Follow-up by email, messages or memory
Lists, statuses, owners and deadlines visible
Dependence on whoever knows “where everything is”
Documented process, searchable by authorized users
Gathering support requires rebuilding the process
Evidence and history organized for consultation
Microsoft 365 used mainly to store files
Microsoft 365 used to support a document model
When the case requires a special scope

Some work is assessed and quoted separately.

The base implementation doesn't automatically include activities that require more volume, technical specialization or services other than OTIUM's.

  • Historical or mass document migration.
  • Cleanup and pruning of old files.
  • Mass physical digitization or historical scanning.
  • Advanced automations.
  • Power BI integration.
  • Subsequent monthly or quarterly administration.
  • Purchase of Microsoft licenses.
  • Hardware, network or internet support.
  • Custom software development.
  • Advanced cybersecurity.
  • Legal validation of contracts.
  • Technical certification of each uploaded document outside the corresponding service.
How we start

First let's understand how your company's documentation is organized today.

We carry out an initial document diagnosis to review sources, processes, users, owners and control needs. On that basis we define the scope and the right structure to implement SharePoint.
