OTIUM | FIXED ASSETS

Know what assets you have, where they are and what information backs them up.

We organize your company's fixed assets from a physical, documentary, accounting and technical perspective: inventory, QR tagging, record reconciliation, revaluation when applicable and a digital base for ongoing control.

What we solve

The asset exists. The problem is when the information doesn't match.

Over time, inventories, documents and accounting records can drift away from physical reality. The project reconnects those pieces to build a usable asset base.

01

Outdated inventory

There's no certainty about which assets are still in use, where they are or who they're assigned to.

02

Differences with accounting

There are physical assets not recorded, or accounting records for assets that can't be located.

03

Scattered support

Invoices, photos and background are in different folders or hard to rebuild.

04

No traceability

Additions, disposals, transfers, custodians and status changes aren't tracked on a common base.

What we do for you

From the physical survey to an organized asset base.

The scope is defined by the company's situation and the project objective. These are the confirmed core components of the service.

01 · Assessment

Physical inventory

We identify the assets, their location, area or custodian, visible condition and relevant photographic evidence.

02 · Identification

Asset tagging with QR

We assign codes and physical tags that make each asset easy to identify and link it to its digital information.

03 · Support

Document review

We review and organize the available documentation linked to the assets included in the scope.

04 · Reconciliation

Accounting and asset analysis

We match the physical survey against accounting records to identify differences, missing items and inconsistencies.

05 · Valuation

Technical revaluation when applicable

We analyze the need to update values and coordinate external specialists or appraisers for assets that require specific technical judgment.

06 · Control

Master base and adjustment proposal

We consolidate the information into an asset base and, when in scope, prepare the corresponding accounting adjustment proposal.

Our work process

A project that connects fieldwork, documents, accounting and valuation.

The sequence takes you from scattered information to a validated base the company can keep using after the project.

Diagnosis Fieldwork Reconciliation Valuation Digitization Delivery
01

Initial survey

We understand asset types, locations, existing records, documentation and the objective of the work.

02

Scope definition

We define the assets, information to collect, documentation to review and need for specialists.

03

Physical inventory

We survey the assets in the field and record the information needed to build the base.

04

QR tagging

We code and physically tag assets to make later lookup and control easier.

05

Review and cross-check

We match documents and accounting records against what was physically found.

06

Revaluation, if applicable

We carry out the corresponding analysis and coordinate external specialists when the asset requires it.

07

Digital base

We consolidate codes, location, evidence, documentary information and analysis results.

08

Validation and delivery

We review findings with the client and deliver the base, reports and agreed recommendations.

The goal of the process: that the project doesn't end as a snapshot of inventory day, but as a base that can be maintained and updated.
Adaptable scope

Not every company needs the same thing.

The initial diagnosis defines which components are needed and which depend on the asset type, project objective or the control system the company wants to keep.

Project base

Physical, documentary and accounting order

✓
Physical inventory and information recording.
✓
Asset tagging with QR codes.
✓
Review of available support.
✓
Comparison with accounting records.
✓
Master base and findings report.
When applicable

Valuation, digitization and follow-up

✓
Technical revaluation with specialist support depending on the asset.
✓
Accounting adjustment proposal within the agreed scope.
✓
Optional SharePoint implementation.
✓
Ongoing maintenance if the client requires it.
✓
Suggested annual review to keep the base current.
Digital model

The tool must help find, control and rebuild the information.

The digital base organizes each asset and its evidence. SharePoint can be added as an optional complement, especially when the company already works with Microsoft 365.

What the asset base organizes

Component Practical use
Code / QR Consistently identifies each surveyed asset.
Location and custodian Shows where the asset is and who uses or holds it.
Condition and evidence Keeps photos and observations from the survey.
Documentation Links the available support to the corresponding asset.
Accounting information Eases cross-checking with records and identifying differences.
Valuation, if applicable Incorporates the results of the technical analysis defined in the scope.
SharePoint isn't mandatory. It's an option for companies that want to centralize the base, documents and evidence within Microsoft 365.
Ongoing control

The base must be able to stay alive.

If the company requires it, control can continue after the initial project through updates on additions, disposals, transfers, custodians, documentation or photos.

Additions and disposalsIncorporate changes in the asset universe.
Transfers and custodiansKeep visible where each asset is and which area it belongs to.
New supportUpdate linked documentation and evidence.
Periodic reviewAn annual review is suggested, adjustable to the company's asset activity.
What the client receives

Deliverables that leave evidence and a base for ongoing management.

Final deliverables depend on the contracted scope, available information and the type of assets included.

Main project base

Inventory and master baseStructured list of the assets included in the scope.
Asset tags / QRPhysical identification of the surveyed assets.
Photo recordVisual evidence linked to the physical survey.
Findings reportDifferences, observations and points that require a decision or regularization.

Depending on the agreed scope

Technical revaluationResults and technical support when the project includes valuation.
Accounting adjustment proposalPrepared based on the surveyed information and the analysis performed.
Digital base / SharePointControl structure and document repository when this add-on is contracted.
Maintenance recommendationsGuidelines to keep the information current after the project.
Clear responsibilities

The project works best when fieldwork, documents and decisions have owners.

OTIUM carries out and documents the agreed work; the company provides access, records and contacts to validate the information.

Your company

Provides the necessary information and validations

Provides access to the assetsCoordinates facilities, schedules, areas and internal owners.
Provides records and documentsProvides the available information for cross-checks and analysis.
Appoints contactsPeople who can clarify location, use, background or movements of the assets.
Validates decisionsReviews findings and defines the appropriate internal actions.
When the case requires special treatment

Some work needs specialists or a separate scope.

Court appraisals, valuations with specific legal or regulatory effects, specialized technical certifications, legal regularization of ownership, procedures with public bodies, repairs, physical maintenance or custom system development are not automatically part of this service.

Specialized valuation: when the asset type requires it — for example industrial machinery, fuel dispensers, real estate, vehicles, facilities or specialized equipment — OTIUM coordinates the participation of appraisers or technicians in the field. Their scope and cost are defined case by case.
What changes

From a scattered inventory to a verifiable asset base.

The value isn't just in counting assets. It's in linking each physical asset with its evidence, its record and the information needed to manage it.

Without a structured base
Inventory hard to validatePhysical and accounting information may not match.
Scattered supportFinding documents or background takes time.
Barely visible responsibilityIt's not always clear where an asset is or who uses it.
Reactive controlDifferences show up when the information is already needed.
With OTIUM
Identified assetsEach included asset has a record and a reference code.
Reconciled informationDifferences between fieldwork, documents and accounting become visible.
Organized evidencePhotos and support are linked to a common base.
A base for decisionsThe company has clearer information for additions, disposals, adjustments, maintenance or replacement.
How we start

Let's first understand the current state of your fixed assets.

Before quoting the project, we review the asset universe, their locations, the level of available information and the company's goal. On that basis we define a clear technical and operational scope.

To define the scope we review

Type, approximate quantity and location of the assets.
Inventories, accounting records and available documentation.
Objective: organization, control, revaluation or a combination of needs.
Need for appraisers or specialists for specific assets.
Expected digital model and whether SharePoint makes sense.

Based on this review we define the methodology, owners, deliverables and way of working for the project.
